✈️ Trip budget calculator – plan vs actual

Plan what the trip should cost, enter what you actually spend, and see where you stand – in total, per person and per day. Nothing you type leaves your browser.

The whole budget is in one currency. Prices in another currency: convert them yourself – the calculator doesn't fetch exchange rates.

How to budget for a trip

Updated October 1, 2026

A travel budget does two jobs. Before you go, it tells you what the trip will cost and whether that fits. While you travel, it shows whether you are on plan – so you find out on day three, not when the card statement arrives.

What a trip costs depends on where, when, how long and how you travel, so there are no averages filled in here. You enter your own quotes and prices and see the result as you type.

Four habits that keep a trip on budget

  1. Set the total first, then divide it into categories
  2. Keep a line for the unexpected
  3. Enter what you spend while you travel, not after
  4. Agree before you go how shared costs are split

Questions about trip budgets

Start with the total you can spend on the trip. Split it into transportation, lodging, food, activities and the rest, and add a line for the unexpected. Enter the plan before you go and the actual amounts as you spend, and you see right away where you are over or under.
Getting there and getting around, lodging, food, activities and tickets, shopping, travel insurance, and a buffer for the unexpected. Small things add up too: baggage fees, airport parking, tips, phone data, and pet or house sitting back home. The categories here are a checklist – rename, add or remove lines to match your trip.
It depends on where you go, when, for how long, how many of you travel and where you stay – too many factors for a general price range to mean anything. Enter your own quotes and prices, and the calculator shows the total, the cost per person and the cost per day.
Keep the page open on your phone and enter amounts in the Actual column as you go, or keep your receipts and catch up each evening. The calculator works in one currency, so convert foreign prices yourself – your card statement shows the amount you were actually charged. It does not fetch exchange rates.
This calculator shows the cost per person when everyone pays an equal share. If different people paid for different things during the trip, or some should pay more than others, use the bill split calculator to work out who owes whom.
Enter the number of days and the calculator divides the plan by them, for the whole group and per person. Flights and lodging are usually paid up front, so the lines to watch day by day are food, activities and shopping.
